Andmonc Journal · From arrivals to the open road
A smooth airport pickup begins before you fly. Use this practical checklist to choose the right collection point, prepare your documents and check the car before leaving.
Your three priorities: know where to collect the car, bring the documents and payment method your offer requires, and leave with a clear record of the vehicle’s condition. Keep the voucher and supplier’s contact details available offline.
Book the collection point, not just the airport name
When comparing airport rentals, make the collection instructions part of your shortlist. An airport search can include a desk in the terminal, an office reached by shuttle or a meet-and-greet arrangement. Ask yourself how each option fits your arrival, luggage and travelling companions.
| Arrangement | What to check before booking | Planning question |
|---|---|---|
| Terminal desk | The terminal, opening hours and location of the vehicle collection area. | Will I arrive in the same terminal? |
| Shuttle to an off-site office | The meeting point, shuttle instructions and any restrictions stated in the offer. | Can I comfortably manage the transfer with my luggage? |
| Meet and greet | Who to contact, where to meet and how to communicate an arrival change. | Will I have working mobile service on arrival? |
Leave time between your scheduled landing and the collection appointment for disembarking, border checks, baggage and the journey to the office. There is no single buffer that suits every airport. A short domestic flight with hand luggage and a long-haul arrival with checked bags deserve different plans.
Start with Viagioo’s worldwide car rental guide. Compare the collection arrangements alongside the total rental price, rather than choosing solely from the first daily rate you see.
Prepare a small collection folder
DiscoverCars advises travellers to bring an original, valid driving licence and accepted identity document. Additional requirements vary: an International Driving Permit, travel tickets or other documentation may be needed for the selected supplier and destination. Check the offer rather than assuming a photograph on your phone will be accepted.
- Driver details: confirm that the named main driver will attend collection and meets the offer’s eligibility requirements.
- Documents: pack the required originals where you can reach them easily after landing.
- Payment arrangements: check the permitted card or explicit no-card arrangement and any security amount.
- Booking record: download the voucher, collection instructions and conditions before travelling.
- Contacts: save the local rental office and booking partner’s details from your confirmation.
If card availability is your main concern, read our guide to car rental without a credit card or security deposit. A deposit and an excess answer different questions; check both before committing your travel budget.
If your flight is delayed, make contact
Use the supplier’s contact details on the voucher to report your revised arrival as soon as you can. Share the flight number, check the permitted arrival window and ask about the office’s closing time. A flight number helps the supplier follow the journey but does not guarantee that the office will stay open or that a car will be held indefinitely.
Ask for any agreed change and associated charge in writing. Save the reply with the booking. Do not rely on a universal grace period: the relevant conditions are those of your supplier and reservation.
At the counter: make the agreement clear
Keep your voucher open while the agent explains the agreement. Compare the vehicle category, rental dates, return location and payment amounts. Ask about anything you do not recognise before signing. If an extra is offered, establish what it adds to the arrangement you already booked and its full cost.
Write down the answers to three practical questions: where should the car be returned, what fuel or charging level is required, and who should you call if the car develops a problem? These details are easy to forget when you are tired after a flight.
Take a few minutes before driving away
Walk around the vehicle and photograph its condition, including the wheels, glass and interior. Ask for existing damage missing from the paperwork to be recorded before you leave. Photograph the fuel gauge and mileage, confirm the correct fuel or charging requirements, and check basic controls and any warning lights. Report concerns to the supplier before starting the journey.
Save the rental agreement, the condition report, clear exterior and interior photographs, the dashboard reading and any written acknowledgement of existing damage in one folder. Avoid including other customers’ faces or documents in your photographs.
Andmonc readers often enjoy personalising their own cars. A rental is different: avoid adhesive accessories, wiring changes or other modifications unless the rental company has expressly permitted them. Set up navigation and any removable phone holder while parked, keeping your view clear.
Plan the return while you still have time
Before the final day, find the return entrance and a suitable fuel or charging stop if required. Build the return into your airport schedule, including the walk or shuttle back to departures. Save receipts and take a final record of the car, fuel or charge level and return time.
Where possible, ask for an inspection with a member of staff and keep the return document. If the agreed process uses a key drop outside office hours, follow those instructions carefully and keep your own evidence. The inspection may take place later; returning the key does not by itself confirm that there will be no further charges.

Questions worth settling before departure
Is an off-airport rental always better value?
Compare the whole arrangement: rental cost, transfer, opening hours, luggage and time. A lower headline price may suit one itinerary and be inconvenient for another.
Will the car be held if I add my flight number?
Do not treat that as a guarantee. If delayed, contact the supplier and confirm how your booking will be handled.
What if the car seems unsafe?
Raise the concern with the supplier before leaving and request a safe solution. Contact the booking partner if needed and keep a written record. Do not start driving simply because the paperwork has been completed.
